Job Summary

The Deputy Registrar will oversee daily operations in the Registrar’s Office. This position is responsible for the maintenance, integrity, security, and storage of all academic records as outlined by FERPA. In addition, the Deputy Registrar oversees the maintenance of computerized student record systems in following areas: course schedule preparation, registration, classroom and general scheduling, grade reporting, transcript requests, degree and graduation certification, enrollment verification and enrollment reporting. The Deputy Registrar must be dedicated to meeting the needs of both undergraduate and graduate constituents.

Essential Responsibilities

  • Interpreting, assisting to create, and upholding academic policies
  • Development and publishing of All College Catalogs, course schedules, and academic calendars in concert with academic departments
  • Oversee all aspects of course enrollment
  •  Chairing the Exceptions Committee and engaging in relevant cross campus committees
  • Supervision of Registrar’s Office employees and oversight of daily Registrar’s Office functions: including maintenance of academic records in accordance with AACRAO best practices in records retention
  • Oversee reporting to the National Student Clearinghouse
  • Build classes in Student Information System (PowerCampus)
  • Stand in and make decisions when the Senior Registrar is unavailable
  • Other duties and responsibilities as assigned by the Senior Registrar

Education and Experience

  • Bachelor’s degree, Master’s degree preferred
  • Minimum 2 years’ experience in customer service environment
  • Project management experience
  • Experience using databases including student information systems preferred
  • Proficient with Microsoft Office Products
  • Proven analytical and problem-solving abilities
  • Strong customer service orientation
  • Excellent written and oral communications skills
  • Strong interpersonal skills
  • Highly self-motivated and self-directed
  • Detail oriented
  • Ability to effectively prioritize and execute tasks in a deadline-driven environment
  • Experience working in a team-oriented, collaborative environment
  • Ability to speak Spanish a plus
